Partners in PROMISE (“Partners in PROMISE,” “PiP,” “we,” “us,” or “our”) is committed to respecting and protecting the privacy of the military-connected families, members, donors, partners, research participants, and other individuals who interact with our organization.

This Privacy Policy describes how we collect, use, disclose, store, and protect personal information when you visit our website, submit a form, participate in a program or research initiative, access member resources, make a donation, subscribe to communications, or otherwise interact with Partners in PROMISE.

Because our mission includes supporting military families of children with disabilities and special education needs, some of the information voluntarily provided to us may include sensitive information about children. We recognize the importance of protecting this information and describe our practices below.

1. Information We Collect

The information we collect depends on how you interact with Partners in PROMISE and may include:

Personal and contact information, such as your name, email address, telephone number, mailing address, military affiliation, relationship to a child, and other contact or demographic information you choose to provide.

Information about children and families, which may include a child's name, age, date of birth, grade level, school information, disability or special needs, diagnosis, educational history, special education services, Individualized Education Program (IEP) or Section 504 information, Exceptional Family Member Program (EFMP) information, accommodations, experiences with schools or service providers, family circumstances, and other information voluntarily provided by a parent, guardian, or authorized adult.

Program and support information, including information submitted when requesting mentorship, resources, advocacy support, program participation, training, events, or other assistance.

Research and survey information, including responses submitted through surveys, questionnaires, interviews, focus groups, research projects, or other data-collection initiatives.

Account and membership information, including information used to establish and administer an account, provide access to member-only resources, maintain saved resources, or manage participation in PiP programs.

Communications, including messages, questions, feedback, testimonials, stories, and other information you voluntarily send to us.

Donation information, such as your name, contact information, donation amount, donation history, transaction information, and information necessary to acknowledge your contribution.

Technical and usage information, such as IP address, browser and device information, approximate location derived from IP address, referring website, pages viewed, links clicked, time spent on the website, and other website activity.

We ask users not to submit Social Security numbers, financial account credentials, passwords, or other information that is unnecessary for the applicable program or service.

2. Information About Children

Partners in PROMISE's mission involves supporting families of children with disabilities and special education needs. As a result, our programs and forms may intentionally request information about a child.

This information may include a child's:

  • Name and age

  • Grade level and educational information

  • Disability, special need, or diagnosis

  • IEP, Section 504, or special education status

  • EFMP-related information

  • Accommodations or services received

  • Educational or developmental needs

  • Experiences with schools, school districts, military transitions, or service providers

  • Other information necessary to understand the family's circumstances and provide appropriate resources, programs, research opportunities, or support

This information is intended to be submitted by a parent, legal guardian, or other adult authorized to provide the information, rather than directly by a child.

Our website and online forms are not directed to children under 13 for the purpose of independently collecting their personal information. We do not knowingly ask children under 13 to independently create accounts or submit personal information without appropriate adult involvement.

If you believe that a child has submitted personal information directly to Partners in PROMISE without appropriate parental or guardian involvement, please contact us so that we can review and, where appropriate, delete the information.

3. Sensitive Information

Information concerning disabilities, diagnoses, special education services, and a child's educational or developmental needs can be particularly sensitive.

6. Research, Surveys, and Advocacy

Research and data-informed advocacy are central to Partners in PROMISE's mission.

Information collected through surveys, questionnaires, interviews, focus groups, research projects, programs, and similar initiatives may be analyzed to identify trends, understand the experiences of military-connected families, develop resources, inform policymakers, educate stakeholders, and advocate for systemic improvements.

Certain research projects may have their own consent forms, privacy notices, participation agreements, or confidentiality provisions. When provided, those terms apply in addition to this Privacy Policy.

7. Donations and Zeffy

Partners in PROMISE uses Zeffy to facilitate online donations and certain fundraising transactions.

When you donate, your payment and transaction information is processed through Zeffy and its payment-processing infrastructure. Partners in PROMISE may receive donor information including your name, email address, mailing address, donation amount, donation history, and transaction-related information.

Zeffy states that nonprofits can access donor information through their dashboards, while Zeffy itself does not store or process donors' complete credit-card information. Zeffy Help Center

9. Forms and Third-Party Form Providers

Partners in PROMISE uses Wix, Jotform, and Google Forms to collect information through various forms, applications, surveys, questionnaires, and program registrations.

Information submitted through these services may be processed and stored by the applicable provider in addition to Partners in PROMISE.

Jotform, for example, states that it does not sell or lease personal information and describes its use of service providers to operate its services. Jotform

Because some PiP forms collect sensitive information concerning children, families should review the information requested and provide only information relevant to the applicable program, research activity, or request.

We also rely on third-party technology providers to maintain security controls for information processed through their systems.

However, no internet transmission, website, database, or electronic storage system can be guaranteed to be completely secure. Therefore, we cannot guarantee absolute security.

14. Data Retention

Partners in PROMISE retains personal information for as long as reasonably necessary for the purposes for which it was collected and for legitimate organizational, programmatic, research, legal, financial, tax, reporting, security, and recordkeeping purposes.

Retention periods may differ depending on the nature and sensitivity of the information and the reason it was collected.

When personal information is no longer reasonably necessary, we may delete, destroy, anonymize, or de-identify it consistent with our policies and applicable law.

  • Provide information about personal information we maintain concerning you or your child

  • Correct inaccurate information

  • Update your contact information

16. Stories, Photographs, Testimonials, and Media

Partners in PROMISE may invite families and community members to voluntarily share stories, photographs, videos, testimonials, or other content.

Submitting information privately through a support form, survey, research form, member portal, or other private channel does not by itself authorize Partners in PROMISE to publicly identify a child or family or publish their photograph, story, diagnosis, or other personal information.

When appropriate, separate authorization or consent will be obtained for identifiable public-facing stories, testimonials, photographs, videos, or similar materials.

Any separate media release, research consent, testimonial authorization, or other agreement will govern the uses described in that agreement.
